It goes without saying you will negotiate a fair price and arrange adequate facilities to meet your needs, but here is a brief refresher course you might find helpful when arranging the details with your event venue. 

Transportation: Ask for recommendations about transportation options from the airport to the venue, and how guests can get around during their stay. Staff should be more than willing to recommend and even arrange local ground transportation. South Shore Harbour Resort, for example, even arranged facilities for an on-site shuttle service, and guests truly appreciate the convenience.

Activities: No event takes place in a vacuum. Your guests will want to get out and about before, after and between sessions so look closely at the local attractions and recreational offerings for attendees, spouses and families. Again, the venue staff should be happy to arrange activities for your guests, either as group or individual outings. At South Shore Harbour Resort, boating, fishing, the 150,000-square-foot fitness center and spa, golf, and three party boats are popular. Quiz the venue staff and let them suggest outside activities that will appeal to your guests…and increase attendance.

Taste the Food: Beyond the regular meals, make sure to discuss the issue of special menus well in advance. Today’s event attendees have a variety of dietary needs and preferences like vegan and gluten-free diets, and prior planning will pay off immensely when your guests take their seats or browse the buffet.

Audiovisual: AV capabilities are paramount today, as you know. Every presentation will have AV needs, and they should be addressed thoroughly and clearly in advance. Discuss needs, capabilities and charges with your venue early, and make sure they have the latest equipment and on-site AV coverage. Nothing is worse during an important meeting than a dead mic or non-responsive computer…that’s why South Shore Harbour Resort has its own staff right there during events. And don’t even think about paying for state-of-the-art internet access!

Parking: It’s a basic need, and ought not be left to chance. Ask how guest parking is handled, and arrange free parking for guests, if possible (free parking in the covered garage is extremely attractive to South Shore Harbour Resort guests).

Check out the Pool: As part of the property’s recent multi-million-dollar renovation, the South Shore Harbour Resort swimming pool was reworked to accommodate more poolside events, and it has proven to be a sound investment. People love the cabanas and swim-up bar, but if you want to increase attendance, arrange some events poolside.

Talk to the Local CVB: All of your needs should be met by staff at the venue, but ask how they can involve their local convention and visitors bureau to enhance the experience. Explore how the local CVB can help promote attendance (with brochures, videos and web links, for example), and what local resources they can provide – like discounts at local attractions or staffing your registration desk.

Location, Location, Location: Sunset views, historic settings, relaxing surroundings make a difference to your guests. South Shore Harbour Resort overlooks the nation’s third-largest pleasure boat marina, and the setting helps attract guests. Being so close to the airport doesn’t hurt, either. So in addition to the facilities themselves, consider a venue’s setting when planning your event.

Experience: Make sure venues you consider have been around long enough and hosted enough events like yours to ensure success.
